We are seeking an experienced Dental Office Manager to lead daily operations of our Rockledge, FL practice. This is a high-impact leadership role with a clear, performance-based growth path to Regional Manager overseeing three dental offices.
You will start by owning the operational, financial, and team performance of a single location. As you demonstrate consistent results, you will take on multi-site responsibility — standardizing best practices, mentoring office managers, and driving growth across all three locations.
• Oversee day-to-day operations of the practice, ensuring a smooth, efficient, and welcoming experience for every patient.
• Manage scheduling and provider productivity to optimize chair time, reduce gaps, and minimize no-shows and cancellations.
• Resolve patient concerns and escalations with professionalism, protecting the practice’s reputation and patient retention.
• Ensure the office is clean, stocked, compliant, and audit-ready at all times.
• Recruit, hire, onboard, train, and schedule front-office and clinical support staff.
• Set performance expectations, conduct reviews, coach team members, and manage corrective action as needed.
• Build a positive, accountable culture and lead regular team huddles and meetings.
• Maintain accurate timekeeping, PTO, and payroll inputs in coordination with HR/payroll.
• Own location-level KPIs: production, collections, case acceptance, new-patient flow, and overhead.
• Oversee billing, insurance verification, claims, AR follow-up, and patient payment/financing arrangements.
• Manage budgets, supply/inventory ordering, and vendor relationships to control costs.
• Prepare and review regular financial and operational reports for ownership.
• Ensure compliance with HIPAA, OSHA, CDC infection-control standards, and Florida Board of Dentistry rules.
• Maintain staff licensure/certification tracking (radiography, BLS/CPR, EFDA) and continuing-education records.
• Administer the practice-management software Dentrix and maintain data integrity.
• Develop, document, and enforce office policies and standard operating procedures (SOPs).
• Drive new-patient growth in partnership with marketing; track sources, conversion, and reactivation.
• Support treatment-plan presentation and case acceptance to grow production responsibly.
• Identify operational improvements and implement systems that scale.
This role is designed as a stepping stone. Advancement to Regional Manager is based on demonstrated, sustained performance — not tenure alone. A typical path:

• Provide direct leadership and accountability for office managers and operations across all three locations.
• Own regional P&L: consolidated production, collections, overhead, and profitability targets.
• Standardize systems, SOPs, scheduling templates, and patient-experience standards across sites.
• Travel regularly between the three offices to coach teams, audit operations, and ensure consistency.
• Lead multi-site recruiting, onboarding, and management-bench development.
• Roll out technology, marketing, and process initiatives across the region and measure adoption and results.
• Report regional performance, forecasts, and improvement plans directly to ownership/leadership.
• 3+ years of dental or healthcare office management experience with direct P&L / KPI accountability.
• Proven team leadership: hiring, coaching, performance management, and culture-building.
• Strong command of dental revenue cycle: insurance, billing, claims, AR, and case acceptance.
• Proficiency with dental practice-management software Dentrix and reporting.
• Working knowledge of HIPAA, OSHA, and Florida dental compliance requirements.
• Excellent communication, organization, and problem-solving skills.
• Multi-site or regional management experience in a dental or healthcare setting.
• Experience scaling SOPs, onboarding new locations, or supporting practice acquisitions/integrations.
• Familiarity with dental marketing, treatment-plan presentation, and patient-financing programs.
• Background as an EFDA, RDH, or clinical team member is a plus.
• Bachelor’s degree in business, healthcare administration, or related field, or equivalent experience.
• Bilingual (English/Spanish) a plus.
• Full-time, on-site at the Rockledge office; regional role requires reliable transportation and routine travel between 3 locations.
• Valid driver’s license and clean driving record (for regional travel).
• Ability to work in a fast-paced clinical office environment.
