What You'll Do

Patient Experience

  • Warmly greet patients and guide them through check-in and check-out
  • Verify and update demographics, insurance information, and benefits (Ascend)
  • Maintain a clean, welcoming front desk, waiting area, and restrooms

Scheduling & Patient Flow

  • Manage, confirm, and reschedule appointments to keep the schedule full and efficient
  • Monitor patient arrivals and coordinate flow between the front office and clinical team
  • Follow up on missed appointments and cancellations in alignment with the doctor

Treatment Coordination & Collections

  • Review treatment plans with patients, explain financial implications, and obtain signatures
  • Collect balances for current and past-due accounts
  • Pre-authorize necessary treatment and schedule follow-up care

Administrative & Communication

  • Monitor and respond to emails and voicemails same-day
  • Execute patient communication campaigns using in-house marketing tools
  • Provide patient education materials (ADA brochures) as needed
  • Escalate complex issues to the Business Manager

What We're Looking For

  • 2+ years of experience in a dental office (required)
  • Experience supporting specialty providers — endodontists or periodontists — is a plus, but not required
  • Proficiency in dental practice management software — Ascend experience a plus
  • A true self-starter: someone who identifies what needs to be done and does it without being asked
  • Strong multitasking and organizational skills in a fast-paced setting
  • Excellent phone etiquette, written communication, and interpersonal skills
  • A warm, professional demeanor with genuine empathy for patients
  • Comfortable with technology and basic computer systems
  • Our team supports multiple practice locations. Your schedule will typically be set in advance, and we'll always give you a heads-up when you're needed at a different site. On rare occasions, we may ask you to step in at another location on short notice to cover an unexpected absence — flexibility and team spirit go a long way here.
